BACKGROUND TO THE ROLE
 
KARINA
(Caritas Indonesia) is the humanitarian arm of the Bishops’ Conference of
Indonesia based in East Jakarta and is officially considered as a member of the
Caritas Internationalis confederation. Karina is
established in 2006 with focus on disaster management issue which is translated
into 4 programs, namely DRR, Diocesan Accompaniment, Promotion and Identity,
and Capacity Building for Emergency Response designed for 2011-2013 period KARINA (Caritas Indonesia) acts as a coordinating and facilitating body for all
the 37 Dioceses/archdiocesesincorporated under the Bishops’ Conference of Indonesia.
 
Caritas Palembang/PansosBodronoyohas a project
to strengthen the
resilience and preparedness of the communities in question
to deal with the risks, an economic empowerment program that focuses on
disaster risk reduction. The goal of this project is The Improvement of socio-economic welfare of the households in the
vulnerable areas of disaster in Bengkulu and Jambi so they can reduce disaster risks.
Karina
is also running the Diocesan Accompaniment Project. The Goal of this project is
to strengthen the Diocesan Caritas network
in Indonesia as a socio pastoral body of Diocese capable of working in
professional, sustainable, accountable and committed way at the service of a
vital network of Diocesan Caritas in order to serve the poorest of the poor.

DETAILS OF ROLES AND RESPONSIBILITIES

 
KEY
REPONSIBILITIES
Under the direct supervision of KARINA’s Project
Coordinator, the Project  Officer will be
responsible for providing accompaniment, monitoring, evaluation and reporting
to KARINA. 
 
TASKS/DUTIES
1.    Accompaniment Diocesan Caritas Palembang/Pansos Bodronoyofor socio
economic project (half of the time).The main task and responsibilities of
Project Support Officer is to assist Project Manager and Field Project
coordinator in project management, finance, and resources required for project
implementation, monitoring, evaluation and report. This person is Karina staff
who will assist Pansos in Project Implementation and will report to Program
Manager and Director of Karina –KWI. 
 
Key Responsibilities: 
2.    To accompany Diocesan Caritas Palembang/Pansos
Bodronoyo, concerning every managerial issue on the
projectcycle managementboth in Bengkulu
and Jambi.
3.    Writing and compiling monthly reports from Caritas Palembang/Pansos Bodronoyoand providing inputs and corrections, if
necessary, upon the project implementation and usage of project finance-assets. 
4.    Writing and compliling the 6 monthly report
and final report submitted by Caritas
Palembang/Pansos Bodronoyo, including
translation into English, and submit the reports to Project Coordinator. The
reports will submit by Program Manager to donors after approval from Director.
5.    Providing inputs to improve project
implementation, monitoring and evaluationof the program
according the agreed policy and procedures as described in the project proposal
and the MoU between Caritas Palembang/Pansos Bodronoyo, KARINA and Caritas
Italiana.
6.    Conducting external evaluation for project
and  financial audit at the completion of
project. 
7.    Coordinating project closure with Project
Manager. 
8.    Coordinating and facilitating meetings for
monitoring and 3 monthly evaluation between Caritas Palembang/Pansos Bodronoyoand Karina, and 6 monthly monitoring and
final project evaluation between Pansos, Karina and Donor. 
9.    Coordinationand monitoring to
theimplementation of
project run by the Caritas Palembang/Pansos Bodronoyo.
10.Conducting
regular field monitoring and evaluation of the project implementation as
planned.Conducting field monitoring and accompaniment
of field staff every 3 months covering both activities and financial management/assets in field
offices (Jambi, Bengkulu) and Pansos Head Office (Palembang). 
 
Diocesan
Accompaniment (half of the time)
11.   To
join the Diocesan Accompaniment activitiesand visitsplanningbycoordinationwith the Diocesan Caritasunder the supervision of the
coordinator.
12.   Receive
updated information regularly (weekly/monthly)and give positive feedback to the
development of programs run by Diocesan Caritas.
13.   Facilitate, animation,
coordination and cooperation with the DiocesanCaritasin order to develop the basic structure,
find the focus oftheservice, create strategic plans, planningactivities, promoting
the development of a commitment-Voluntarism solidarity against those who are
poor.
14.   Working from Caritas Indonesia offices (via e-mail, telephone,
internet sessions and with other communication devices) in assisting and
facilitating the companionship of the DiocesanCaritasstaff.
15.   Working in the DiocesanCaritasOffice (during certain periods) to accompany
and share knowledge with the Diocesan Caritas staff,based on the specific
needs of each Dioceses(as far as needed). 
16.   Facilitate follow-up
activities (development of knowledge, ability and capacity) that is described
above with the companionship through Diocesan Accompaniment Initiative Fundschemes.
17.   Building a good relationship with the
structure and key personofthe DiocesanCaritas (Director, assistant and others stakeholders) and of the Dioceses hierarchi(the Bishop, Vicariat General.and other commission).
18.   Developing good
relationship with
representatives of the Donors. 
 
 
Others
19.Responsible to
submitupdate and
report progress of the program and financial regularly (monthly/every three
month) to KARINA Project Coordinator and KARINA Finance Coordinator. 
20.Coordination, information sharing, updates and meet
periodically with coordinator/staff of the others unit/division/department ofCARITAS INDONESIA who work in the same
area of the DiocesanCaritas.
21.Ready to deploy for any emergency
response as mandate of KARINA (Caritas Indonesia)
22.Conducted every other office
duties and obligations in accordance with the general duties and
responsibilities of workers in KARINA (Caritas Indonesia).
23.Undertakeany other tasks given
by the his/her supervisor and Executive Director of KARINA (Caritas Indonesia).
 
Basic Qualifications & Experience:
1.    BA degree, preferably in anthropology,
social or political science, development studiesor other related to the job.
2.    Experience and skills as facilitator,
moderator and motivator.
3.    Knowledge of and experience Project/program cycle management.
4.    Knowledge of and
experience with basic financial report and budgetting,
5.    Good or Excellent English and Indonesian skills in listening,
speaking, reading and writing. 
6.    Good flexibility, creative and high
motivated.
7.    Ability to work in a team work
8.    Knowledge of basic Microsoft programs a
mµyp8mu9ust. 
9.    Indonesian nationality.
10.Willing to work under pressured and high
frequency of mobile.

circulated internally by Communication Officer) after attending meetings/conferences/workshops/trainings/events/site
visits to project location with project partners and/or donors.
